How to use Apex
Ten steps from empty account to a squad you can actually manage. Work top to bottom and tick each one off — no prior experience needed.

1. Create your organisation

Sign up, then name your club or academy and pick a primary sport. This starts your 14-day free trial and creates the private workspace all your data lives in.
- One organisation per club — teams live inside it.
- The sport you pick only sets sensible defaults; you can track any sport.
- You become the Organisation Admin automatically.
2. Add your teams

On the Roster page, create a team for each squad you coach — Senior Men, U16 Girls, Sprint Group, whatever fits your code.
- Start with one team, prove the routine, then roll out.
- Name teams the way your coaches already talk about them.
- Athletes can be moved between teams later.
3. Add athletes
10 min
Add each athlete with their name, date of birth and position. Date of birth matters — it drives the under-16 consent rules.
- Do a squad of 25 in about ten minutes.
- Mark athletes as injured or inactive instead of deleting them — you keep the history.
- Positions power the leaderboards and comparison views later.
4. Record consent (do this before any health data)

For every athlete, record who consented and when. Anyone under 16 needs a guardian's name, email and relationship captured first.
- No consent recorded = don't collect wellness or injury data for that athlete.
- Consent can be withdrawn at any time from the same page.
- Data export and permanent erasure requests are handled here too.
5. Start the daily wellness habit

Athletes rate sleep, fatigue, soreness, stress and mood on a 1–5 scale. Apex turns that into a readiness score out of 100 instantly.
- Same time every day — the ten minutes before training works best.
- It works in any phone browser; no app download needed.
- Two weeks of data is the point where the numbers start to mean something.
6. Read the numbers each morning

Check the dashboard before you plan the session. Green means proceed, amber means modify, red means talk to the athlete before they train.
- Readiness 80+ = full session. 60–79 = modify volume. Under 60 = check in personally.
- Watch the trend, not the single day — a one-off dip is usually just a bad night's sleep.
- A whole squad dipping together is a coaching-load problem, not an athlete problem.
7. Log training load and attendance

Record session RPE and duration after each session, and mark who attended. Apex builds weekly load and acute:chronic ratios from it.
- Keep the acute:chronic ratio roughly between 0.8 and 1.3.
- Big weekly jumps in load are the classic soft-tissue injury warning.
- Attendance gaps explain most sudden drops in test scores.
8. Manage injuries and return-to-play
As needed
Medical staff log injuries and move athletes through the five return-to-play stages. Coaches can't see the medical detail — only availability.
- Stages: rest → light training → sport-specific → full contact/training → match ready.
- Every view of a medical record is audit-logged automatically.
- Only the medical and admin roles can open this page.
9. Review weekly and report
20 min/week
Once a week, look at squad-level trends in the Performance Centre and export a report for your committee, director or parents.
- Run testing batteries every 6–8 weeks to keep the leaderboards honest.
- Export reports before board meetings — it is the fastest way to justify the budget.
- Share athlete report cards with parents to build buy-in.
10. Pick a plan before the trial ends

Choose monthly or yearly on the Billing page. Your data and history carry straight over — nothing is lost when you convert.
- Whole-club pricing, not per athlete.
- Yearly billing works out roughly two months cheaper.
- Cancel any time; your data stays exportable.

Common problems, solved
The things every new club runs into
Nobody is filling in wellness
Do it as a group in the first two minutes of every session rather than asking people to remember at home. Compliance goes from about 30% to over 90% overnight.
The readiness scores look meaningless
You need roughly 14 days of data before an athlete's personal baseline is established. Judge changes against their own average, never against a teammate's.
A coach is asking to see injury details
By design they can't. Coaches see availability and return-to-play stage; the clinical detail stays with medical staff and every view is logged.
I added an athlete twice
Mark the duplicate inactive rather than deleting, unless it has no data attached — deleting removes history permanently.
How much time does this actually take?
About 25 minutes to set up, then 60 seconds a day per athlete and roughly 5 minutes a day for the coach.
